We have an opening for an Administrative Specialist. You will perform a full range of task-oriented administrative assignments to support our National Ignition Facilitys (NIF) Controls System Program Managers. You will work in a dynamic and fast-paced environment that will require multi-tasking with frequent interruptions and conflicting priorities. This is in the National Ignition Facility & Photon Science (NIF&PS) Directorate.

ESSENTIAL DUTIES
- Provide advanced administrative support to management and program leaders under minimal supervision. Manage complex calendars and independently determine scheduling priorities; may determine attendees.
- Represent senior management in daily matters to gather, clarify, disseminate and coordinate information and activities.
- Respond to administrative inquiries from DATS management; coordinate special activities and meetings to implement these activities.
- Arrange domestic, foreign travel, interviewee travel; process expense vouchers; take initiative to resolve issues while clarifying and disseminating information as needed.
- Coordinate and arrange complex unclassified and classified visits and meetings with internal and external contacts; coordinate complex security arrangements, agendas, and hospitality, serving as the administrative point-of-contact.
- Create correspondence involving administrative and scientific material including documents, presentations, tables, charts, and reports. Establish and maintain complex databases, spreadsheets, and tracking systems.
- Act as a point of contact for onboarding new team members including office space negotiation, computer setup and network accounts, phone orders, and building/room door locks access.
- Submit and monitor procurements materials, awards, recognition submittals and certificate tracking.
- Perform other duties as assigned.

QUALIFICATIONS
- Advanced administrative experience including highly accurate keyboarding, editing, and high level of attention to detail including strong grammar and proofreading skills.
- Experience successfully providing support to senior management, including coordinating and leading administrative projects, under minimal supervision.
- Advanced experience compiling, tracking, monitoring, resolving, and reporting on complex data and documents from creation through completion utilizing advanced organizational skills.
- Advanced level of prioritization skills and experience working within an environment that requires a high level of multi-tasking, including rapidly changing priorities, deadlines, and frequent interruptions.
- Excellent interpersonal skills to effectively interact and represent senior management with all levels of management, both internal and external to the Laboratory to handle sensitive and confidential issues with tact, discretion, and mature judgment.
- Advanced problem-solving and decision-making skills necessary to independently recommend appropriate actions and solutions.
- Advanced computer skills and experience with the Microsoft Office Suite and database and calendaring software, and the ability to learn new software quickly.
- Excellent written and verbal communication skills with the ability to effectively explain, present, direct, negotiate, and influence others.

DESIRED QUALIFICATIONS
- Knowledge of the Laboratorys LITE, LEAP, LAPIS, LTRAIN, Cliqbook, ePay, and eCaps systems.
- Knowledge of foreign national policies, procedures, and the Laboratorys Visitor Tracking System (VTS).
- Knowledge of NIF and Photon Science Directorate organization, business, and operations, including Laboratory organizational structures.

Pre-Employment Drug Test: External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Security Clearance: This position requires a Department of Energy (DOE) Q-level clearance.

If you are selected, wewill initiate a Federal background investigation to determine if youmeet eligibility requirements for access to classified information or matter. In addition, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship. If you hold multiple citizenships (U.S. and another country), you may be required to renounce your non-U.S. citizenship before a DOE L or Q clearance will be processed/granted.

Note: This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
