We have an opening for an Administrative Assistant to work with the Cyber Security Program (CSP). You will work independently and as a team following established procedures to assess business, operational and organizational requirements and deliverables and apply general knowledge of policies, procedures and practices to develop, approve and implement administrative and operational activities. This position is in the Cyber Security Program, Chief Information Office, within the Directors Office.

Essential Duties

- Review and edit documents/policies with advanced formatting skills. Correspond to document management and track files.
- Establish and maintain complex databases, spreadsheets, and tracking systems to ensure action items are completed by the required deadline and follow up on pending items.
- Back up to the Business Unit Security Specialist for the on-site Issue Tracking System (ITS) creating reports, sending out reminders, tracking items, creating assessments, Issues and actions in the application, Trouble shoot users.
- Review documentation and prepare packages, track expiration dates for (Federal Risk and Authorization Management Program) FEDRAMP.
- Create reports and send to the Training education and awareness leader, send out reminders to all Lab personnel, Post completions.
- Represent management in daily matters; frequently interact with all levels of management internal and external to the Laboratory to gather, clarify, disseminate and coordinate information and activities.
- Performs administrative assignments including; travel arrangements, submits ePay, eCAP documentation for approval; utilizes LEAP for badging; answers phones, calendaring; tracks and disseminates mail, information.
-Perform other duties as assigned.


- Advanced administrative experience, with accurate keyboarding, editing, grammar, and proofreading skills.
- Excellent organizational skills coordinating administrative and operational work activities and multi-faceted internal processes for the work unit and/or functional area.
- Ability to be self-motivated and flexible, exercising a high degree of discretion and mature judgment in handling business sensitive and/or classified information, as well as personnel interactions.
- Excellent communication and interpersonal skills necessary to interact effectively with a diverse workforce and represent the organization to all levels of management, internal and external to LLNL, with mature judgment, tact, and discretion.
- Advanced problem-solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
- Experience working effectively as a team member as well as independently.
- Advanced computer skills and experience with the Microsoft Office Suite, Adobe Acrobat; and the ability to learn new software quickly.

Pre-Employment Drug Test: External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Security Clearance: This position requires an active Department of Energy (DOE) L-level or Q-level clearance or an active Secret or Top Secret clearance issued by another U.S. government agency at time of hire.
