We have an opening for an Administrative Specialist IV at Site 300. Under minimal supervision will perform a full range of advanced and complex duties consisting of multiple components and requiring independent follow through. This position provides broad administrative support while frequently and professionally interacting internally and externally across all levels related to LLNL. Also, this is a 4/10 scheduled position. This position is in the Weapons and Complex Integration Directorate, reports to the Site 300 Administrator and will be located in Tracy, CA.

Essential Duties:
- Represent management in daily routine matters to gather, clarify and disseminate information and coordinate activities. Independently schedule appointments, while maintaining multiple complex calendars. Screen telephone calls and independently answer routine inquiries and make referrals.
- Prepare operational documents for experiments conducted at Site 300 firing facilities. Prepare administrative and scientific material including correspondence, documents, procedures, tables, charts, reports, etc.
- Serve as a resource interpreting and communicating policies and procedures.
- Serve as Site 300 training coordinator, administrative escort and vehicle fleet point of contact for assigned areas.
- Arrange domestic and foreign travel, which may include clearance arrangements.
- Establish, maintain and update complex databases, spreadsheets, tracking systems and complex filing systems for assigned areas.
- Function as the Property Representative for assigned areas.
- Provide administrative support to Hiring Managers for open positions. Provide back-up administrative support to other administrative staff members and Facility Point of Contact.
- Perform other duties as assigned.


- Advanced secretarial and administrative experience with accurate keyboarding, editing, use of grammar and proofreading, as well as attention to detail, accuracy and follow through.
- Advanced experience creating, editing, tracking, compiling, monitoring and updating procedures and large documents.
- Advanced problem-solving and decision-making skills necessary to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
- Experience working effectively under limited supervision in an environment with frequent interruptions and changing deadlines, instructions and priorities.
- Advanced organizational skills, including the coordination of multiple activities and the ability to independently determine and set priorities and goals with limited task definition.
- Effective communication and interpersonal skills necessary to interact effectively with a diverse workforce and all levels of staff and management.
- Experience arranging complex domestic and foreign travel.
- Advanced computer experience (PC) with applications such as Microsoft Word, Excel, PowerPoint, Outlook, FileMaker Pro, Entrust, Adobe Acrobat, and the ability to learn new software.

Desired Skills, Knowledge, and Abilities:
- Working knowledge of LLNL and Site 300 policies and procedures.
- Experience with work planning and control procedures. Experience working in a technical program. Experience working with classified information. Ability to be self-motivated, flexible and exercise a high degree of discretion, mature judgment, and tact in handling business sensitive and/or classified information, as well as personnel interactions.

Pre-Employment Drug Test: External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test.

Security Clearance: This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire.

Note: This is a Career Indefinite position. Lab employees and external candidates may be considered for this position. Employees assigned to work at Site 300 may be exposed to the organism that causes San Joaquin Valley Fever (coccidiodomycosis).
