Administrative Support (Experienced)

We are seeking an Administrative Support person at Sandia's Carlsbad, NM remote site in the Special Projects/Remote Site Support Department\. You will, under general direction, provide complex interrelated administrative support for management in our organization\. Incumbent is expected to \. Incumbent will be expected to exercise some discretion and judgment when interacting with high\-level visitors to this site\.

On any given day, you may be called on to:

+ Provide administrative support, performing a wide range of projects and tasks, and a variety of general business\-related activities
+ Project a positive, useful, and professional image, both to those this position supports, and to visitors
+ Oversee and perform the operations of the reception and common clerical area of the remote site
+ Gather, collect, record, track, and verify data and information from multiple sources; reconcile report discrepancies
+ Assist in implementing and administering Sandia National Laboratories' policies and programs and provide interpretation, and administrative assistance on a wide variety of procedures
+ Instruct workers in the reception area on procedures for incoming visitors, meeting building access and security requirements, and securing the main entrance in the event of emergency
+ Serve as emergency coordinator and controlled property coordinator; updates emergency contact lists, and site specific telephone lists, monthly badge inventory, and visitor log, taking inventory in keeping with Laboratory policies and procedures, and preparing surplus property for delivery to reclamation
+ Ensure property databases are current and accurate
+ Serve as the local badging specialist for the Carlsbad\-based workforce, in coordination with the main Sandia Badge Office in Albuquerque; maintains database of active contractor members of the workforce at Sandia/Carlsbad
+ Serve as GSA vehicle coordinator, keeping track of vehicle check\-in and check\-out, maintenance intervals, and interfacing with the main fleet services staff at Sandia/Albuquerque
+ Monitor and order or otherwise procure office and break room supplies to support smooth operation of this remote site
+ Coordinate with Sandias shipping and receiving organization to ensure proper shipments from and to this Sandia remote site

_This position requires you to reside near, and to work in, Carlsbad, New Mexico\._

Required:

+ High school diploma plus three or more years of directly related experience; or equivalent combination of education and experience; may have secondary education\.
+ Two to four years of increasingly responsible administrative and/or office management experience
+ Effective interpersonal skills, as demonstrated in past experience, preferably within a diverse work environment
+ Experience with office computing environments and with database interactions

Desired:

+ Knowledge of and experience with general administrative services and activities\.
+ Knowledge of and experience with common office software\.
+ Knowledge of governmental regulations and potential environmental impacts related to administrative practices and assigned business function\.
+ Effective customer service skills\.
+ Ability to team effectively with managers, staff, other administrative and support providers at this remote site and at Sandias main location in Albuquerque\.
+ Demonstrated ability to organize, prioritize, and follow through to completion on multiple tasks, often under tight deadlines, frequent interruptions, and competing priorities\.
+ Ability to ensure that the office functions efficiently\.
+ Ability to model behaviors that reflect Sandias core values\.
+ Demonstrated analytical skills\.

Department Description:

The Waste Isolation Pilot Plant \(WIPP\) is the world's only licensed and operating deep geologic repository for the disposal of transuranic nuclear waste\. WIPP is operated by Nuclear Waste Partnership, LLC, under contract to the Department of Energy's Carlsbad Field Office \(CBFO\)\. Sandia provides scientific advice to CBFO in many areas, including modifications to the repository's operating permits, periodic recertification of the repository, and on\-going monitoring of repository performance against regulatory requirements\. The Defense Waste Management Programs Group \(8880\) provides the scientific and other resources needed to advise the DOE on issues that may pertain to continued and uninterrupted certification and permitting of WIPP\.

Security Clearance:

This position does not currently require a Department of Energy \(DOE\)\-granted security clearance\.

Sandia will conduct a pre\-employment drug testing, and a pre\-employment background review that includes personal reference checks, law enforcement record checks, and employment and education verifications\. Further, employees in New Mexico must pass a U\.S\. Air Force background screen for access to the work site\. Substance abuse or illegal drug use, falsification of information, criminal activity, serious misconduct or other indicators of untrustworthiness can cause access to be denied or terminated, rendering the inability to perform the duties assigned and resulting in termination of employment\.

If hired without a clearance, and one subsequently becomes required or you bid on positions that require a DOE\-granted security clearance, a pre\-processing background review that includes personal reference checks, law enforcement record and credit checks, and employment and education verifications may be conducted prior to a required federal background investigation\. Applicants for DOE\-granted security clearances must be U\.S\. citizens and be able to obtain and maintain the appropriate DOE security clearance as required for the position\.
