ADP is hiring an Executive Administrator. This person performs very advanced administrative responsibilities for assigned Executives, requiring substantial knowledge of company policies and procedures. Processes and disseminates information of a highly confidential nature.

ADP is hiring Executive Administrative Support professional. In this position, you'll couple your positive attitude, superb organizational skills and deep understanding of ADP to ensure smooth functioning of activities and processes in support of one or more executives.

  • Conducts research to compile data relating to required department reports and special projects and make recommendations on report formats and software requirements. 
  • Composes and types complex letters and memoranda requiring substantial individual judgement using PC/word processing software. Routes and answers correspondence not requiring Executive's attention. 
  • Independently establishes, organizes and maintains files of Executive's correspondence. 
  • Communicates department policies and procedures as directed by Executive. 
  • Assists Executive in some administrative details, usually of confidential nature.

  • Performs secretarial duties such as screening telephone call, letters and/or visitors, answering questions, and furnishing information, opening and distributing mail, settling expense accounts and maintaining office supply inventories and appointment calendars. 
  • Administer department programs and ensure delivery of key tasks to support organizational effectiveness.
  • Responsibilities include organizational metrics, tracking and reporting, and improving employee satisfaction.
  • Assist in tracking progress on group pipeline activity (contracts, sourcing projects, etc), and ensure completion of activities on time
  • Assist in ensuring department staff activities are aligned with department goals, and track progress against goals
  • Often partners with other functional areas to accomplish responsibilities.
  • Prepare presentations, communications and speeches for the direct leader, generally to employee or management groups.
  • Develop draft materials for meetings.
  • Assist with organizational initiatives, such as process improvement projects, organizational restructuring, or other initiatives that provide assistance to the executive.
  • May be expected to oversee project work or arrange business events for the executive.
  • Performs special projects as assigned.
  • College degree, or equivalent education and work experience.
  • 5+ years related experience.
  • PC proficiency, especially with MS Office applications.
  • Ability to work under pressure with undefined processes, tight deadlines and frequently changing priorities.
  • Ability to build effective relationships and work collaboratively across diverse units / staff functions.
  • Strong communication and influencing skills to interact with all staff levels.
  • Ability to demonstrate sound judgment in handling of sensitive information.
  • Previous experience managing projects or related initiatives preferred.

PREFERRED QUALIFICATIONS: Preference will be given to candidates who have the following:
  • Some college courses/specialized secretarial courses preferred
  • Demonstrated organizational skills for time critical deadlines.
  • Demonstrated ability in assembling, compiling and analyzing summarized data that is accurate and timely.
  • Must be able to handle confidential material, have strong follow-up skills and be able to interact with senior management.
  • Typing ability of 60 WPM required and skills in gathering information required.
  • Ability to perform responsibilities with a high level of tact and integrity due to the frequency of senior level internal and external contacts.
