We have an opening for an Executive Assistant to executive level administrative support to the Principal Associate Director (PAD). You will perform a full range of advanced, diverse, and complex executive assistant services in a highly visible environment. You will also serve as a point-of-contact for the PAD and interface with senior-level internal and external personnel to exchange, gather and disseminate information. This position is in the National Ignition Facility and Photon Science (NIF&PS) Principal Associate Directorate.

Essential Duties
- Represent the PAD in daily interactions including senior management/executives, internal and external to the Laboratory, independently setting priorities when committing the PAD's time.
- Independently clarify, coordinate, communicate, and disseminate information on behalf of the PAD, assess and respond to inquiries, prioritize actions, and follow-up to ensure resolution on a wide variety of issues.
- Compile, coordinate, proof, format, edit, finalize, and manage a variety of complex and often confidential documents, files, calendars, and email messages.
- Conduct research, request information, compile and coordinate internal and external business, operational, and administrative topics.
- Plan, coordinate, and organize internal/external meetings on behalf of the PAD, developing agendas, determining and contacting attendees, and committing funds for accommodations/locations.
- Coordinate, facilitate, and lead teams in support of high level PAD Reviews and Workshops.
- Arrange domestic and international travel with complex itineraries.
- Initiate and compose original and sensitive correspondence, memoranda, reports and agendas on behalf of PAD.
- Perform other duties as assigned.

- Experience providing executive assistant support to and representing senior management and/or executives to diverse internal and external contacts.
- Significant executive assistant skills and experience including keyboarding, grammar, proofreading and editing, use of personal computers and associated software, and presentation and spreadsheet preparation.
- Experience coordinating and leading administrative projects.
- Significant analytical, problem-solving, and decision-making skills necessary to independently identify and recommend appropriate actions and solutions to administrative issues.
- Advanced organizational skills and ability to prioritize multiple complex tasks while working in a fast-paced environment, with short deadlines and frequent interruptions.
- Effective communication skills to effectively interact and represent the office and manager with all levels of management, both internal and external to the Laboratory.
- Knowledge of appropriate handling of sensitive and/or classified documents and protection.
- Experience effectively working with sensitive issues and exercising judgment and discretion.

Desired Qualifications
- Knowledge of LLNL business, operations, the NIF&PS organization, and external organizations (i.e. Department of Energy (DOE) and National Nuclear Security Administration (NNSA)).
- Knowledge and understanding of the Laboratorys policies and procedures.

Pre-Employment Drug Test: External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Security Clearance: This position requires a Department of Energy (DOE) Q-level clearance.

If you are selected, wewill initiate a Federal background investigation to determine if youmeet eligibility requirements for access to classified information or matter. In addition, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship. If you hold multiple citizenships (U.S. and another country), you may be required to renounce your non-U.S. citizenship before a DOE L or Q clearance will be processed/granted.

Note: This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
