The Facilities & Procurement Coordinator will develop Facilities and Procurement policy for the ADP Spain and where required support International/Global procurement and facilities activity. Reporting directly to the Facilities Manager with a dotted line into the ADP EMEA Procurement Director.
Key categories will include; FM, Procurement, Travel.

Main Responsibilities:

  • Facilities Department continuous support on daily projects
  • Office materials and groceries stock control
  • Punctual communication with Landlords and good knowledge of the lease contract and terms
  • Control of the performance of the key Facilities service providers -- cleaning, maintenance etc.
  • Support on Facilities services invoices control -- rent, electricity, water etc.
  • Handyman's work coordination
  • Office moves coordination
  • Spend analysis and identify key saving opportunities
  • Enforces Global Facilities and Procurement policies and guidelines to achieve Corporate & BU goals/objectives.
  • Implements e-procurement tools
  • Engages with multiple stakeholders in a matrix structure to promote procurement best practice
  • Commercial stakeholder management, advise and influence key senior stakeholders on spend behaviour
  • Negotiates & implement supplier contracts and supplier relationship management.
  • Ensures policies rolled out by International Facilities/Purchasing are implemented in his or her Country/ BUs.
  • Ensures local vendor's contracts are in sync with International vendor's contracts when applicable.
  • Launches RFIs/RFPs for almost each contract renewal and new requirements, using Ariba sourcing tool.
  • Discover profitable suppliers
  • Control purchase details of orders and deliveries
  • Examine and keep an accurate control of the existing contracts
  • Co-operate with other departments to ensure availability of the material or services in the right time, quality and quantity
  • Control spend and build a culture of long-term saving on procurement costs
  • Collaborate with Corporate departments on key projects
  • Mobile phones management
  • Provide access and support to different e-platforms and tools (Ready Access, ARIBA etc.)
  • Control business related insurances (building etc.)
  • Daily communication with stakeholders on the Facilities & Procurement topics where they may need support
  • Undertake any other duties relating to the work of the Facilities & Procurement teams as required


  • Required Knowledge and Skills

  • Background in managing and influencing key internal and external stakeholders
  • Knowledge of the principal facilities & procurement principles and practices
  • Commercial understanding of strategic procurement
  • Strong negotiations skills and ownership of both Local and Global contracts
  • Strong skills in supplier negotiations and vendor contract management
  • Business process knowledge in the areas of Facilities and Procurement
  • Excellent interpersonal, influencing and communication skills, including writing and presentation
  • Highly organized and detail oriented with a proven ability to get the job done
  • Dedicated to service and customer orientated
  • Ability to work independently and multi-task
  • Comfortable in a fluid ever changing environment
  • Proficient in database management, excel and power point.
  • Highly motivated and able to take initiative with minimal direction.
  • Preferable background in an international company / matrix organisational structure.
  • 5 years' experience in a similar role
  • Fluent speaker: Spanish, English.
