We have an opening for Administrative Specialist. You will perform a full range of complex and difficult administrative assignments in a dynamic and fast-paced environment with frequent interruptions and multiple conflicting priorities. This position is in the Systems Engineering Group within the National Ignition Facility & Photon Sciences (NIF&PS) Principal Associate Directorate.

Essential Duties
- Represent management in daily matters, gathering, clarifying and disseminating information including serving as a resource in administrative matters and on organization policies and procedures.
- Coordinate, select and compile data from multi sources for complex reporting and presentations.
- Arrange complex domestic and international travel and itineraries, schedule appointments, and maintain complex calendars independently, under minimal supervision.
- Screen telephone calls, independently answer inquiries and resolve problems that may be of broad scope and complexity, make appropriate referrals, follow through on requests; review, prioritize, and disseminate incoming mail.
- Coordinate internal and external visits, including preparation of agendas, coordinating schedules, possible foreign national paperwork, badge requests, and information dissemination.- Prepare, review, and/or compose administrative material (including items that may be sensitive in nature) on own initiative for management signature and independently track action items, ensuring timely flow of paperwork.
- Establish, maintain, and improve multifaceted databases, spreadsheets, files, and tracking systems.
- Identify and make recommendations for process improvements, developing and implementing new techniques and procedures as appropriate while interpreting institutional and organizational policies and procedures.
- Perform other duties as assigned.

Qualifications
- Advanced level administrative knowledge and experience including accurate keyboarding, editing, grammar, and proofreading skills; advanced knowledge of office procedures, techniques, and methods.
- Excellent organizational skills, attention to detail, accuracy and follow through required to complete complex projects including ability to work with sensitive administrative material while evaluating priorities and setting goals.
- Experience working under minimal supervision, in an environment of rapidly changing and conflicting priorities, deadlines, and frequent interruptions.
- Excellent interpersonal, communication, and presentation skills necessary to interact with a diverse workforce and represent the organization with all levels of management, internal and external to the Laboratory, using a high level of tact, diplomacy, and discretion.
- Advanced level decision making skill to independently solve problems of broad scope and complexity, including identifying and making recommendations for process improvements, developing and implementing new techniques and procedures.
- Advanced computer skills and experience with the Microsoft Office Suite, database and calendaring software, and the ability to learn new software quickly.
- Experience arranging complex domestic and/or foreign travel.
- Advanced knowledge of office procedures, techniques, and methods, including advanced problem solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
- Ability to be flexible and discreet in handling sensitive and complex issues, and experience working effectively as a team member as well as independently under minimal supervision.

Desired Qualifications
- Knowledge of LLNL administrative policies, procedures, techniques, and methods.
- Experience with the Laboratorys FTS, VTS, LITE, LEAP, LAPIS, LTRAIN, Cliqbook, ePay, and eCaps systems.
- Experience working in a classified environment and handling classified documents.

Pre-Employment Drug Test: External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Security Clearance: This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire.For additional information, please see DOE Order 472.2.

Note: This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
