We are a team of engineers, designers, and researchers who work on Big Data technology at SAP in Palo Alto. Our goal is to build the bridge between SAP’s best-in-class enterprise software and modern Big Data technology. At the heart of this mission is SAP Data Hub (YouTube Channel ), a young product that allows to build and execute data pipelines between different components such as SAP applications, SAP HANA, Apache Spark, Apache Kafka, Apache Hadoop, Amazon AWS, Microsoft Azure, Google Cloud Platform, Machine Learning Libraries and many more. SAP Data Hub enables our customers to connect all their components regardless if they are deployed on premise or in the cloud, if they are open-source software and commercial solutions or if they are application servers, database systems, file storage systems, software libraries etc.

Your Role and Responsibilities

As a team administrative assistant in our group, you are responsible for the operation of daily office functions and duties, including active and autonomous administrative support to our management team. This also includes the administration of special projects in collaboration with SAP-internal groups and departments as well as external communication with our customers, interested parties, and partners. In particular, it covers the following tasks

  • Calendar Management for senior management within the organization, which might include the processing of emails, calls and voicemails on their behalf
  • Active monitoring of action items and tracking of deadlines
  • Managing internal and external correspondence
  • Driving meeting logistics for regular occurring meetings of the senior management team, including co-ordination of team meetings and large external events
  • Co-ordination of travel arrangements, including assistance with trip preparation (i.e. visa applications) and follow ups like entering of travel expenses and monitoring of complete reimbursement process
  • Booking of meeting rooms / venues for team meetings/events
  • Managing workflows and monitoring items like vacation requests, purchase orders, internal orders, maintenance of distribution lists, etc.
  • Preparation and follow up of meetings including taking of meeting minutes
  • Managing shared drives and communities
  • Central point of contact for organization and responsible for other ad-hoc support as required by our management team
  • Support with internal projects, including decision making within clearly defined framework of departmental guidelines and practices, tracking of follow-up activities

Education and Requirements

  • At least 5 years of professional experience in an administrative support function in a fast-paced environment
  • BA degree required
  • Excellent communication skills and interpersonal skills (Fluency in English language)
  • High proficiency with standard desktop applications (MS Word, Excel, PowerPoint, Outlook, Internet tools)
  • Proven project management skills (including ability of managing projects that involve senior Management, C-Level Executives, Government Officials)
  • Ability to work independently with a good sense for urgency and priorities
  • Ability to perform under pressure and in a fast-paced environment
  • Fast Learner and demonstrates ability to adapt to changes
  • Great organizational and time management skills to support the team in keeping timelines and reaching milestones
  • Highest level of integrity, confidentiality and flexibility

  • Must be able to work onsite in Palo Alto, CA
