WPD Administrator (Active Clearance Required)

We have an opening for a WPD Administrator to manage the day-to-day operations of a dynamic office. You will work independently following established procedures to assess business, operational and organizational requirements and deliverables and apply general knowledge of policies, procedures, and practices to develop, improve and implement administrative and operational activities. This position is in the Weapons and Complex Integration (WCI) Directorate.

This position will be filled at either the A01.1 or A01.2 level depending on your qualifications. Additional job responsibilities (outlined below) will be assigned if you are selected at the higher level.

In this role you will:

  • Assess administrative and business operational procedures and systems and make recommendations or adjustments to ensure efficiency, effectiveness of administrative operations and streamline processes.
  • Participate in planning, decision-making, and development and implementation of administrative processes.
  • Manage general building/office needs, managing space and coordinating moves
  • Coordinate team building exercises
  • Review documentation for adherence to policy to ensure consistency within the work unit or functional area; participate in determining whether work unit is in compliance with policies, procedures, methods, and practices and participate in the implementation of corrective actions to bring into compliance.
  • Collect, validate, and interpret business, operational and/or organizational planning data in support of strategic and/or workforce planning activities.
  • Participate in program team meetings, take minutes, track action items, oversee and update Teams and Wiki pages.
  • Provide supervision to non-exempt administrative personnel to include hiring, training, performance management and career development.
  • Coordinate various personnel-related administrative processes for the work unit.
  • Serve as a primary point of contact and resource to interpret and communicate divisional, directorate and institutional policies and procedures.   
  • Develop and implement plans to promote culture, diversity, equity and inclusion.
  • Perform other duties as assigned.

 In Addition, at the A01.2 Level:

  • Lead the implementation of business, operational and/or organizational strategies, objectives, and deliverables and prepare responses for requests for information for the Design Physics Division.
  • Prepare and review a variety of reports and documentation for adherence to policy, to ensure consistency, and advise management.
  • Lead a team while coordinating and executing complex classified program reviews, meetings, workshops, and conferences of a technical nature.

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at the time of hire.
  • Experience coordinating administrative and operational work activities and multi-faceted internal processes for the work unit and/or functional area.
  • Experience participating in business, operational and/or organizational projects and activities.
  • Understanding of basic principles of personnel administration, policies and procedures and of HR compliance requirements for personnel administration (FLSA, ADA, EEO, etc.).
  • Effective analytical, problem solving and decision-making skills necessary to independently advise, resolve, recommend and approve appropriate actions to implement solutions.  
  • Effective leadership, team-building and interpersonal skills with the ability to handle sensitive and confidential issues with tact, discretion, and mature judgment.
  • Experience leading administrative projects effectively and ability to understand, interpret, and apply operational related policies and procedures; advanced organizational skills, attention to detail, accuracy, and follow through.
  • Knowledge of personal computers and associated software including MS Office applications and experience developing complex reports for use in management decision making.  
  • Demonstrated leadership and commitment to diversity and fostering an inclusive and equitable organization.

In Addition, at the A01.2 Level:

  • Experience representing management to diverse internal and external contacts, communicating manager's direction.
  • Comprehensive knowledge of industry practices with experience applying analytical and research skills; coordinating and executing complex program reviews, meetings, workshops, or conferences.
  • Supervisory experience with demonstrated leadership and team building skills to effectively build and manage an effective business and operations support team.
